The following policies govern the REALTORS® Conference & Expo. They were developed in conjunction with federal/state/local laws, venue policies and NAR policies. Sources are listed for each policy, where possible.
Cancellation & Transfer Policies
Conference Registration Confirmation
All meetings’ registrations and hotel reservations are made through Experient, NAR’s official conference registration company. Experient will confirm your advance registration and hotel reservation by email within one week of your event registration submission. Please bring a printed copy of your confirmation email to the Badge & Program Pickup counters in NAR Registration to print your badge.
Hotel reservations for the real estate conference are assigned on a first-come, first-served basis. This year’s deadline to make your hotel reservations with your conference registration is October 12, 2018. If you make your hotel reservations through Experient, you will not receive a separate confirmation directly from the hotel. Use your registration and hotel confirmation from Experient at check-in.
Credit Card Guarantee
A credit card is required at the time your reservation is made. Credit cards must be valid through November 2018. Your credit card will no longer be charged at the time of booking but will be provided to the hotel to guarantee your room.
The hotel may charge a one nightʼs room and tax as a deposit between October 10, 2018 and your arrival date. Deposits are refundable for rooms cancelled more than 72 hours before arrival. Requests received without credit card information will not be processed.
Promo Code Policy
Promo code offers are not valid on existing registrations.
2018 Cancellation Policies
To make changes and cancellations to your registration, contact Experient at the numbers listed below. Event cancellation policies are as follows:
- Prior to October 12, 2018: Conference registration fees will be refunded less a $25 processing fee.
- After October 12, 2018: No refund of conference registration fees.

2018 Transfer Policy
All conference registration transfers must be made by October 12, 2018. Send request to ConvInfo@REALTORS.org. Requests after that date must be made on site at NAR’s Registration Assistance counter. Bring original registrant’s email confirmation.
2018 Hotel Changes & Cancellations
To make changes and cancellations, contact Experient Housing through October 25, 2018. After October 25, 2018, contact the hotel directly. Please note that the cancellation policy may vary by hotel. You should refer to the current cancellation policy for your specific hotel. Cancellation of your reservation within 72 hours of, or failure to check in on your scheduled arrival date, will result in a one nightʼs room and tax charge on the credit card provided as a guarantee.
General Meeting Policies
Your Name Badge & Access Pass
Your name badge identifies you as a meeting registrant and must be shown before entering the REALTORS® Expo. If any information on your name badge is incorrect, please visit the Registration Assistance desk in NAR Registration for immediate correction. Additional event and tour tickets may be attached to your badge, too, so review all registration materials carefully.
At the REALTORS® Conference & Expo, you may receive an access pass in addition to your name badge. Your access pass indicates the type of registration you purchased. You must show your access pass for admittance to all conference education sessions, General Session, Inspirational Program and Celebrity Concert.
We recommend that you keep your badge, access pass and any event tickets in your badge holder to safeguard your materials. At the REALTORS® Conference & Expo, there is a $450 fee to replace a lost Premier Access pass, $350 fee to replace a lost Friends & Family pass and $200 to replace a lost One-Day pass.
Conference Sessions: Children under age 10 are not permitted in education sessions. Children 10 years or older are permitted as long as they purchase a Single Session Pass.
Trade show floor: Children under age 18 are admitted at no charge, but they must have a badge that can be obtained at the Help Desk in NAR Registration.
NAR governance meetings (including NAR 360): Children under age 18 are not permitted at any time.
Special events: Children are permitted to attend special events, such as the General Session and the Celebrity Concert, provided they have a paid ticket to the event. Please note that NAR staff reserve the right to refuse or limit the admittance of large strollers and personal wagons that are not needed for ADA use. NAR is not responsible for the security of items left outside the venue, including at the request of staff per this section.
Governance meetings: There is no registration fee for members to attend NAR governance meetings. Contact ConvInfo@REALTORS.org for information on the Governance-Only registration category. Note that this registration category does not allow any access to the education sessions, special events or the trade show floor. A governance meeting handout can be obtained at the NAR Registration area. Please pay special attention to meetings that are marked as “closed meetings” in the printed meeting guide and event mobile app; these meetings are closed to general membership.
Unauthorized Solicitation and Distribution of Materials
Solicitation of business on the premises of the trade expo by anyone other than official NAR conference exhibitors is strictly prohibited. Solicitation of business in sessions and meetings is entirely prohibited.
Distribution of flyers, pamphlets, notices and brochures in any session of the NAR conference, without the prior written consent of NAR, is expressly prohibited.
The ideas and opinions offered at educational programs presented during this conference are solely those of the speakers and do not necessarily reflect the position, policy or opinion of the National Association of REALTORS®. The ideas and opinions presented in these education sessions and the products and services displayed by exhibitors at the trade expo associated with the conference should not be construed as a recommendation or endorsement of the ideas, opinions, products or services by the National Association of REALTORS®. In issues affecting legal, financial or accounting matters, members should also consult trained professionals to address their individual situations.
Video and Photo Consent
The National Association of REALTORS® will be conducting video recording and still photography of meetings, sessions and events during the REALTORS® Conference & Expo for use in connection with Conference Live and future educational, promotional and marketing activities of the association. Your participation in the REALTORS® Conference & Expo constitutes your consent to be photographed and video and audio recorded and to all uses of the images and recordings so created.
Video and Photo Usage
NAR reserves the right to restrict audio and video recording at NAR meetings and events based on a speaker or performer’s contractual agreement with NAR. Attendees agree to adhere to any restrictions relating to the recording of conference events, such as special booth appearances or educational sessions. Failure to comply with such restrictions may result in an attendee’s removal from the venue, without a right of readmission, reimbursement or other compensation.
Education Session Policies
Seating is on a first-come, first-served basis. The convention center fire marshal reserves the right to close a session when the room has reached maximum capacity. Cell phones should be silenced. NAR reserves the right to remove any guest who is disruptive, regardless of paid registration.
Presentation materials are copyrighted by the speakers, their companies or others from whom they have received permission to use. Written permission from the speaker is required before publishing. Some speakers will provide a URL to access their presentations after the event.
Trade Show Floor Policies
Strollers are limited to the use of transporting children and are permitted on the trade show floor as long as they do not restrict the aisle passageway. Wagon buggies and roller bags are also permitted as long as they do not restrict the aisle passageway.
NAR is in compliance with the individual facility rules, regulations and restrictions with regards to personal scooters, segues, hoverboards, roller shoes and other alternative modes of transportation.
The National Association of REALTORS® works with convention centers, hotels, vendors and the meetings industry to provide a more health-conscious and green environment for meetings and to encourage green practices, conservation and recycling at all future meetings.
Allergens and Food Safety
Allergens may be present in food served at NAR meetings. It is the responsibility of each attendee to contact the catering staff or show management about specific food allergies. NAR provides a meal request space when registering for most special events in the registration system.
Weapons and Conceal and Carry
Please note that 430 N. Michigan Avenue is a gun-free zone. Attendees are required to adhere to venue policies regarding firearms and weapons and are also required to adhere to all federal, state and local laws regarding firearms.
Statement of Appropriate Event Conduct
The National Association of REALTORS® (NAR) strives to provide an event experience that is positive and rewarding for everyone. By attending an NAR event, you agree to abide by this Statement of Appropriate Event Conduct. All attendees (including without limitation NAR members, guests, exhibitors and vendors) are expected to conduct themselves professionally and with good judgment and common sense. That means at all times being respectful of others and of the venues in which events are held, including while in transit to and from such venues.
NAR aims to provide a safe event experience for all attendees and does not tolerate inappropriate behavior or harassment in any form. Inappropriate behavior includes harassing or defamatory verbal or written comments, displays of illicit images or use of illicit language, threats, intimidation and unwanted physical contact.
If, at any time, you feel threatened or harassed, you are encouraged to report the incident directly to police via 911. You may also contact NAR’s Vice President of Conventions at ConvInfo@REALTORS.org. Please include the date, time, location and a description of the incident being reported. Attendees who violate this Statement of Appropriate Event Conduct may be asked to leave the event without a refund. In addition, the attendee may not be permitted to participate in future NAR events at the discretion of the association management.

The following policies apply to attendees with disabilities:
- Companions or personal assistants may accompany deaf/blind attendees to education sessions, special events and the expo at no cost as a reasonable accommodation.
- Accessible seating is reserved at the General Session and the Celebrity Concert for individuals with physical disabilities. Please see an usher for more information.
Service and Comfort Animals at NAR Meetings
NAR is committed to fulfilling its obligations under the Americans with Disabilities Act (“ADA”), which requires that individuals with disabilities be permitted to have their service animal accompany them in all areas of a facility where the public is normally allowed to go. Places of business subject to this requirement includes hotels, convention centers and restaurants. Therefore, during NAR meetings, an attendee may request an accommodation be made for their service animal.
Note that while trained service animals are allowed under the guidelines of the Americans with Disabilities Act, comfort animals are not covered under the Americans with Disabilities Act. NAR does not allow comfort animals in the NAR meetings, at the convention center, in education session rooms and special event locations, or on the trade show floor.
What Qualifies as a Service Animal
The ADA specifically defines a service animal as a “dog that is individually trained to work or perform tasks for the benefit of an individual with a disability”. With the exception of specially trained miniature horses (see notes below), the only service animal allowed at an NAR meeting is an individually trained dog.
If you are traveling with a service animal and your need for a service animal is not immediately obvious (e.g., a dog is guiding a blind person), you may be asked “Is this service animal required because of a disability?” You can answer “yes” to be granted access to the event with your service animal.
In accordance with ADA, event staff may not ask about a person’s disability, require medical documentation, require a special identification card or training documentation for the dog, or ask that the dog demonstrate its ability to perform the work or task.
Any other types of animals, such as cats, rodents, birds or snakes, do not qualify as service animals under the ADA and are not permitted at NAR meetings. Please see below for information on comfort animals.
WHEN CAN A SERVICE ANIMAL BE DENIED ENTRY OR REMOVED:
An individual’s service animal may be denied entry or removed from the meeting when:
- The service animal is out of control, and the owner does not take effective action to control it; or
- The service animal is not housebroken.
WHAT QUALIFIES AS A COMFORT ANIMAL:
Any dog or miniature horse that is not individually trained to work or perform tasks for the benefit of an individual with a disability. All other types of animals, such as cats, rodents, birds and snakes, are considered comfort animals.
Comfort animals may be permitted at your hotel, depending on the individual hotel policies. However, NAR does not permit comfort animals at NAR meetings held in hotels, in convention center meeting rooms, on the trade show floor and at special event locations.
